From free demo to live software in 2-3 months

The process in four phases

Building custom software sounds big. It isn’t, if you break it into manageable steps. Our process has four phases: a free demo, a proposal with a fixed price, an implementation of 2-3 months, and a go-live with three months of aftercare included. From first contact to working software: we do that in 2-3 months, no longer.

Phase 1: Free demo

The demo is not a sales call. It is a short build on your own process.

Based on a short description of your work process (a form, an email, a phone call) our team builds a specific demo that shows what custom software could do for your situation. Not a generic platform with twenty features you don’t need. A demo that shows how your order process, your inventory tracking, or your production flow looks in software.

The demo takes 30 to 60 minutes. On your side, no preparation is needed beyond an hour of time and a description of the process you want to tackle. There is no commitment attached. If the demo yields nothing, we stop there.

What the demo does deliver: a concrete picture of what is possible, and what is not possible. We would rather know that early than late.

Phase 2: Proposal and fixed price

After the demo, we write a proposal. That proposal contains three things: scope, planning, and a fixed price.

No time-and-materials. No “we estimate 6 to 9 months depending on what gets added”. No open ends. A fixed price means we are responsible for scope discipline. If new wishes surface along the way, we discuss whether they fit within scope or should be addressed separately. That is our responsibility, not your accounting department’s.

You receive the proposal within 5 working days after the demo. If you find it unclear, or something in it that you disagree with, we discuss. It is not a take-it-or-leave-it document.

Phase 3: Implementation in 2-3 months

The build phase works in 2-week sprints.

Every sprint delivers something that actually runs. No wireframes, no mockups, no PowerPoint presentations with screenshots. Working software that you can open, test, and give feedback on. From week 2 onwards, you see the software grow.

Weekly check-ins: 30 to 60 minutes. At the end of every sprint, there is a decision moment: do we continue on this track, or do we adjust? We make those decisions together. You are the domain expert of your business; we are the technical partner. Neither is enough without the other.

We handle hosting and infrastructure. You don’t need to set up an IT department, rent servers, or configure VPN tunnels. The software runs in an EU cloud and is available as soon as it is ready.

Integrations with existing systems (an ERP, an accounting package, an e-commerce platform) are picked up as part of the scope. Not as a surprise in week 10.

Phase 4: Live and aftercare

At go-live, you receive documentation: how to use the software, how to resolve common questions, where to find login credentials, what to do if something doesn’t work.

The first three months after go-live are covered: bugs get fixed, small improvements you encounter go in straight away, and users with questions can come to us. That is not an extra invoice. That is in the price.

After three months, there is the option of a maintenance agreement. Only if you want ongoing continued development: new features, adjustments based on growth, or integrations that weren’t included yet. That is optional. Those who are satisfied after three months and need nothing more pay nothing more.

What we expect from you

Building custom software is not an order you place and pick up three months later. It requires involvement.

Concretely: availability for weekly calls of 30 to 60 minutes. Roughly 4 to 8 hours per week during implementation for reviewing intermediate results and making decisions. And one accountable owner on your side. Not three people who all get involved and disagree internally about direction.

That involvement is not a burden. It is exactly what ensures that what we build aligns with what you need.
